You're mid-class with the music up and a headset mic on. Out at the desk, the phone rings and rings. AlloPlace answers in English or French, answers questions about your classes and intro offer, and books one-on-one sessions into Google Calendar.
The calls you get
"I've never done reformer Pilates. Which class should I start with?" "Do you have an intro offer?" "What time is spin on Saturday?" "Is there parking, and do you have showers?" "Can I book a session with a trainer?" "How do I freeze my membership?" Newcomers call to size you up. Members call when something's changed. Both tend to call when you're on the floor.
What it does for you
Answers schedule and price questions. It works from your class schedule, prices and FAQ, or pages it imported from your website. When the schedule changes, you update it once.
Books the one-on-one sessions. Personal training, assessments, intro visits and tours go into Google Calendar, at the lengths you set.
Sends membership questions to a person. Freezes, cancellations and billing questions become messages for the manager. It can't see or change memberships, so it doesn't try.
Points class bookings where they belong. If someone wants a spot in Thursday's 7 a.m. class, it tells them how you take class bookings, in the app or on your website.
Answers while the class runs. It handles several calls at once, so the 6 p.m. rush doesn't hit voicemail.
A typical call
Monday, 6:10 p.m., at a small studio in Sherbrooke. The evening class just started. A caller asks in English whether there's a beginners' option. AlloPlace explains, from your information, that new people start with an intro session with a trainer. It books one for Wednesday at 5:30, answers her question about parking, and sends a confirmation text.

Good to know
- Calendar or software: AlloPlace books into Google Calendar only. If your classes and memberships live in Mindbody or another studio app, it can't see or book them. It fits best for studios on Google Calendar, or for trainers who mainly want calls answered and messages taken. If that's not you, talk to us first.
- Website chat: the same receptionist can answer questions in a chat box on your site.
- Payments: it doesn't sell memberships or take card numbers.
