Someone's planning their wedding. They called you first.
Inquiries come in at all hours, often while you're setting up or running someone else's event. AlloPlace answers in English or French, answers questions about your space, and books site visits into Google Calendar.
The calls you get
"Is June 20 next year open?" "How many people does the hall seat?" "Can we bring our own caterer?" "Is there parking for 100 cars?" "What's in the package?" "Can we come see it?" And on event nights, a different set: a guest who can't find the entrance, a DJ asking where to unload, someone who left a coat behind last weekend.
What it does for you
Books site visits. Tours go into Google Calendar, only at the times you allow, so nobody turns up in the middle of a reception.
Answers the planning questions. Capacity, catering rules, AV, parking, accessibility and packages, from your documents and website pages.
Takes date inquiries properly. It doesn't hold or confirm dates. It records the date, the type of event, the guest count and how to reach them, then alerts your coordinator by email or text.
Covers event nights. Directions and parking questions get answered. Suppliers and urgent calls go through to whoever's running the floor.
A typical call
Sunday evening. A wedding is underway in your hall in Saint-Hyacinthe. A couple calls about a Saturday next October for about 140 guests. AlloPlace tells them the hall seats that many, explains that outside catering isn't allowed but your caterer does tastings, and says it can't confirm dates. It takes their details and books a visit for Thursday at 6:00. Your coordinator gets the alert before the first dance is over.
TBD: replace with a real call once a customer agrees.
Rules you might write
- "Never confirm a date. Say the coordinator will check and call back within one business day."
- "Don't book tours on Fridays or Saturdays."
- "If a supplier calls on the day of an event, transfer to the event manager's cell."
- "Corporate events over 200 people: take a message for Marc."
Good to know
- Calendar or software: it books visits into Google Calendar only, and doesn't connect to venue or event software. Talk to us first if your bookings live somewhere else.
- Money and contracts: deposits, contracts and payments stay with your team. It doesn't take card numbers.
- French: many Quebec couples want to plan in French. It switches when they do. More on that
