Book the next car while you finish this one.
You can't answer the phone with a polisher in one hand and a steam hose in the other. AlloPlace answers in English or French, tells callers what your packages include and cost, and books the one they want.
The calls you get
"How much for a full interior on a minivan?" "Do you come to me?" "What's the difference between your two packages?" "How long will you need the car?" Then the bigger ones: ceramic coating, paint correction, odour removal, which usually need a look before you put a number on them.
Spring is its own season. After a winter of salt and slush, everyone wants their car back. So do people about to sell a car or hand back a lease.
What it does for you
Explains your packages. Give it your menu: what each package includes, the price by vehicle size, how long it takes. It answers from that and doesn't make up extras.
Books the right length. A wash and wax isn't the same block of time as a full interior. Each service gets its own length in your calendar, so the day doesn't get double-booked.
Holds the big jobs for you. For coatings and correction work, turn on booking requests. It collects the vehicle, the condition and the timing, and you confirm after you've talked to the customer.
Gets the address for mobile jobs. If you go to customers, it takes the address and asks whether there's water and power on site.
Cuts down on no-shows. Every booking gets a confirmation text, and a reminder the day before if the customer agrees.
A typical call
Late April in Lévis. A customer calls about his SUV: four months of road salt, dog hair all over the back seat, and he's selling it next month. AlloPlace answers in French with your business name and says it's an AI assistant. It explains your full interior and exterior package, gives him the SUV price from your list, and says you'll need the car most of the day. He books a Thursday drop-off at 8 and says yes to a reminder.
TBD: replace with a real call once a customer agrees.
Rules you might write
- "Don't quote ceramic coating or paint correction. Take a booking request and say I'll call to talk about the car first."
- "Mobile jobs only in Lévis and Quebec City. Anywhere else, offer a drop-off at the shop."
- "If someone asks about mould or biohazard cleanup, take a message."
- "Dealership and fleet calls go to my cell."
Good to know
- Calendar or software: Google Calendar only. If you already take online bookings through a detailing app, there's no direct connection. Talk to us first so we can tell you honestly whether it'll work.
- No deposits: it can't take payment or card numbers. If you want a deposit for a coating job, you collect it yourself.
- Your website too: the same receptionist can answer and book from a chat box on your site.
